This will be relevant in two scenarios:
- You have moved to Smokeball, but the integration is not switched on. You want to link your new Smokeball matters to your existing FamilyProperty matters. Or;
- Your integration is turned on and you have a duplicate matter for the same client.
1. Link your new Smokeball matters to your existing FamilyProperty matters
Once your Smokeball migration is complete, please speak with your onboarding specialist about linking your FamilyProperty matters to your Smokeball matters as there are two options:
a). If you have a large volume of FamilyProperty matters, we can assist with this process, or;
b). If you have a manageable amount of FP matters or you may be creating your Smokeball matters yourself, you can manually link your FP matters to your Smokeball matters as per the below steps.
Note: for both options, this needs to be done prior to turning on the FP integration in Smokeball.
To manually link a FamilyProperty Matter to the new Smokeball matter.
Follow these steps for each matter you wish to link:
- Open the Smokeball Matter.
- Click the gear icon (top right) > About > click on the Smokeball Matter ID to copy this.
- Login to FamilyProperty via your web browser.
- Search for the corresponding FP Matter > click the ... button to the right > Setup.
- Under Practice Management Matter ID, input the ID you copied> Save.
2. You have a duplicate matter for the same client
With the integration enabled, your 'Family' Leads and Matters in Smokeball will have a linked FamilyProperty Matter. The link between the matters allows certain information to be synced to and from the Smokeball Lead/Matter over to the FamilyProperty Matter. See: "What information syncs between FamilyProperty and Smokeball"
However, if your firm was concurrently using Smokeball and FamilyProperty - and you had not historically enabled the integration - you may notice you have duplicate Matters in FamilyProperty after enabling the integration.
Generally, you will notice there is one FP Matter with historical data, and a duplicate FP Matter that is blank. However, the blank FP Matter will be linked to the Smokeball Matter.
To correct this, you must reach out to the support team for assistance with this, as the field is not editable when your integration has been switched on. The field must be updated by our technical team.
To manually link a Smokeball Matter to the correct FamilyProperty Matter
In instances where there may have been duplicate FP Matters for the one client and the Smokeball matter is connected to the wrong FP matter, this can be corrected manually as follows:
- Login to FamilyProperty via your web browser.
- Search for the blank or incorrect FP Matter > click the ... button to the right > Setup.
- Under Practice Management Matter ID you should see the Smokeball Matter ID > remove this SB Matter ID > Save.
- Click the ... button to the right of this FP Matter > Archive this FP Matter.
- Go to Smokeball and open the Matter concerned.
- Click the gear icon (top right) > About > click on the Smokeball Matter ID to copy this.
- Next, go back to FamilyProperty via your web browser.
- Search for the correct FP Matter > click the ... button to the right > Setup.
- Under Practice Management Matter ID, input the ID you copied from Step 6 above.
- Hit Save.
Your Smokeball Matter should now be linked to the correct FamilyProperty Matter!
